Who we are

Action for Refugees (AFR) is a network of community organisations supporting refugees. Our purpose is the raise awareness, advocate and fundraise to assist and support refugees and asylum seekers in the UK and Europe. We value the trusted relationship we have built up with the community since 2015, and in short we don’t want to do anything to jeopardise that trust.

We will use the information that we collect about you in accordance with the Data Protection Act 1998 (to be superseded by the General Data Protection Regulations that come into force on 25 May 2018) and the Privacy and Electronic Communications Regulations 2003.

This policy explains how we collect your personal data, what we do with it and how we keep it securely.

What personal data we collect and why we collect it

Why does AFR collect data?

We have identified an operation need to collect and securely hold data:
• To contact or identify volunteers and interested organisations and individuals to pass on vital information e.g. an event is is cancelled or passing on important details about an event.
• from prospective volunteers to recruit within KHAR.
• from organisations and community groups to develop and maintain a professional relationship.

By developing a better understanding of our users through their personal data AFR can make better decisions and fundraise more efficiently and, ultimately, ensure we are best placed to support the needs of those we are supporting.

• Name
• contact details (email and telephone number)
• any other information you share with us as part of your interaction with KHAR (e.g. access needs, dietary requirements)

Sensitive information
Sometimes we ask you to provide sensitive information, for example when you book for certain events or participate in some activities, or when you apply as a volunteer. As with all the personal information we hold, sensitive information is held securely and restricted to those who need to use it. We will delete sensitive information when we no longer need it.

How is that data collected?

Directly
• At the point of sale for tickets, and in person at KHAR and other local events.
• when you apply as a volunteer
• when you join a mailing list
• if you are a business contact.

Indirectly
Your information may be shared with us by fundraising sites we use such as WeGotTickets and Big Cartel. These independent third parties will only do so when you have indicated that you wish to support KHAR and have given your consent. You should check the Privacy Policy of these organisations when you provide your information to understand fully how they will process your data.

Social Media
Depending on your settings or the privacy policies for social media and messaging services like Facebook or Twitter, you might give us permission to access information from those accounts or services.

How do we store your data and who can see it?

Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/ . After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies
If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me” your login will persist for two weeks. If you log out of your account, the login cookies will be removed. If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites
Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Storage
All data is kept securely on a Google Drive in a virtual cloud that is only accessible by members of the KHAR Committee.

Access
Access to this data is only granted to personnel who have been trained on best practice in data handling and related legislation.

Who we share your data with

We may use your personal data to communicate with you, for example to inform you that our services have changed or to send you critical alerts and other such notices relating to our products and/or services and to contact you for customer care related purposes. We do not sell, lease, rent or otherwise disclose your personal data to third parties unless otherwise stated below:

Your consent and social sharing services
We may share your personal data if we have your consent to do so. Some services may allow you to share your personal data with other users of the service or with other services and their users. Please consider carefully before disclosing any personal data or other information that might be accessible to other users.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Storing your personal data

We don’t store any sensitive information whatsoever. We definitely do not store any of your credit card information. 

Any data that is provided to us (i.e. email address) is stored on our secure servers. Details relating to any transactions entered into on our site will be encrypted to ensure its safety.

The transmission of information via the internet is not completely secure and therefore we cannot guarantee the security of data sent to us electronically and transmission of such data is therefore entirely at your own risk. Where we have given you (or where you have chosen) a password so that you can access certain parts of our site, you are responsible for keeping this password confidential.

If you want to access your information, send a description of the information you want to see and proof of your identity to AFR by post (address available on request). We do not accept these requests by email so we can ensure that we only provide personal data to the right person.
